  1. Before due date (3 to 7 days): friendly notice with invoice reference, ZAR amount, due date, and payment route.
  2. On due date: short reminder that payment is due today and how to query the account.
  3. Overdue (3 to 5 days): firmer follow-up after checking for unallocated payments or an open dispute.
  4. Promise missed: contact the customer before restarting the normal cadence.
  5. Final internal review: only after your approved escalation process.

Check payment status before each message. Include invoice number, amount, due date, and a trusted payment link where appropriate.

Before using any template

Templates save time, but they cannot verify the account for you.

Check:

  • customer and contact;
  • invoice reference;
  • amount;
  • due date;
  • payments and credits;
  • dispute status;
  • active promise or payment plan;
  • channel permission and preference; and
  • approved next step.

Replace every placeholder. Test every link. Do not include promotional content in a collection message unless it has been separately approved for that purpose.

Template 1: before the due date

Use when: an invoice is approaching its due date and the business sends normal account notifications.

Email subject: Invoice [reference] is due on [date]

Message:

Hi [first name], a quick reminder from [business name] that invoice [reference] for R[amount] is due on [date]. You can pay using [payment route] and reference [reference]. If you need the invoice or believe anything is incorrect, reply to this message or contact [contact]. Thank you.

Keep this informational. It is not overdue yet.

Template 2: first overdue reminder

Use when: the due date has passed and the balance has been checked.

Email subject: Invoice [reference] is now overdue

Message:

Hi [first name], this is [business name]. Invoice [reference] for R[amount] was due on [date] and still appears open on our records. If you have already paid, please send the payment date or proof so we can allocate it. Otherwise, you can pay using [payment route]. If there is a problem with the invoice, reply QUERY and we will check it.

The phrase “appears open on our records” leaves room for a recent unallocated payment.

Template 3: ask for a payment date

Use when: the first reminder received no payment or useful reply.

Hi [first name], we are following up on invoice [reference] for R[amount], due on [date]. Please reply with the date you expect to pay. If you cannot settle the full amount, contact [contact] so we can discuss the options our policy allows. If the account is incorrect, reply QUERY.

Record the promised date and amount. Do not continue sending the normal cadence before that date.

Template 4: confirm a promise to pay

Use when: the customer has committed to a specific date.

Thanks, [first name]. We have recorded your promise to pay R[amount] on [promise date] for account [reference]. Please use reference [payment reference]. If the arrangement changes, contact [contact] before the date so we can update the account.

Confirmation prevents later disagreement about the date or amount.

Template 5: missed promise

Use when: the promised date passed and payment is not recorded.

Hi [first name], we have not yet matched the R[amount] payment promised for [promise date] on account [reference]. If you paid, reply with the payment date or proof. If not, please contact [contact] today to update the arrangement.

Do not call the customer dishonest. First check allocation and timing.

Template 6: payment-plan instalment

Use when: an approved plan is active.

Hi [first name], your instalment of R[amount] for account [reference] is due on [date]. You can pay using [payment route]. Your remaining balance after this instalment will be R[balance]. If you need to discuss the arrangement, contact [contact] before the due date.

The balance must be calculated correctly. If fees or interest apply, the agreement and statement should explain them.

Template 7: dispute acknowledged

Use when: the customer raises a material query.

Hi [first name], we have paused normal reminders while we review your query about invoice [reference]. [owner/team] is checking [short description]. We expect to update you by [date]. If you have supporting information, send it to [secure route].

This is often more valuable than another demand.

Template 8: payment received

Use when: payment has been allocated.

Thank you, [first name]. We have received and allocated R[amount] to account [reference] on [date]. [The account is now settled / The remaining balance is R[balance].] Contact [contact] if you need a receipt or statement.

Do not send “settled” until the accounting record agrees.

Template 9: wrong person or number

Use when: the recipient says the account is not theirs.

Thank you for telling us. We have stopped messages to this number while [business name] checks its records. We apologise for the inconvenience.

Suppress the number immediately. Do not ask the recipient to disclose identity information to prove they are the wrong person.

Template 10: final internal-process reminder

Use when: the account has completed the approved reminder cadence and passed review.

Hi [first name], invoice [reference] for R[amount] remains unpaid after our earlier messages. Please pay using [payment route] or contact [contact] by [date] to resolve a query or discuss an available arrangement. If we do not hear from you, the account will move to [truthful approved next step].

Only name a next step the business has approved. “Legal action” is not a general-purpose phrase.

Adapt by channel

Email

Use a clear subject, attach or link the correct invoice securely, include the business's contact details, and avoid unnecessary sensitive data.

SMS

Keep it short and identify the business early. Use a trusted short link only if the customer can recognise it. Provide a reply or contact route.

WhatsApp

Meta requires opt-in before messaging. Business-initiated messages outside the service window normally use approved templates. The WhatsApp reminder guide explains the setup.

Platform approval does not replace POPIA or sector review.

Tone checklist

Use:

  • accurate;
  • calm;
  • specific;
  • respectful;
  • easy to act on; and
  • consistent with earlier communication.

Avoid:

  • shame;
  • threats;
  • all-caps urgency;
  • legal claims copied from another business;
  • public or group messages;
  • hidden sender identity;
  • unsupported fees; and
  • repeated contact after a dispute or wrong-number report.

Turn templates into a controlled system

For each template, store:

  1. purpose and stage;
  2. permitted channels;
  3. required fields;
  4. approval owner;
  5. minimum gap from the previous contact;
  6. stop conditions;
  7. reply routing; and
  8. version history.

That turns a folder of copy into an accounts receivable process.
